Face to Face appointments can be changed to a telephone call only if clinically appropriate.

A patient with a rash asking for a telephone call should ideally call another day when available for a F2F as GP will need to see and assess.

Examinations will be needed before antibiotics are prescribed.

Any patients which you feel need a face to face appointment must call on the day they are available for the appointment.

You can say to patients ‘The clinician will need to see you for an examination before prescribing treatment’

DNA – if the appointment slot has changed to a DNA, inform the patient they must rebook.

Running late – If a patient informs us they are running late, we can advise them that we will liaise with the clinician. However, until speaking to the clinician we should not promise patients they will be seen. Advise the patient we cannot guarantee they will be seen as it is past their appointment slot time. Due to the appointments now being F2F latecomers will have a domino effect of the surgery.

patients DO NOT have to see a GP first. The appointment with Helen can be telephone or face to face.

patients who inform us they are pregnant do not need to see a GP. They must be directed to our website where they fill in the form online. We do not book the first appointment with the midwife but we can book follow up appointments into the clinics on Emis.

EMIS Web Housekeeping Guide – Staff Leavers

  1. Why EMIS Housekeeping Matters
Good digital housekeeping reduces governance risks, protects patients, prevents task backlogs,
and keeps the system free of outdated or unsafe content.
  1. Process Overview
  2. Check outstanding tasks
  3. Reassign responsibilities
  4. Remove from Teams and Services
  5. Review appointment sessions
  6. Deactivate user
  7. Review integrations (DXS)
  8. Annual housekeeping
  9. Step-by-Step Instructions
3.1 Check & Clear Outstanding Tasks
Use Workflow Manager to reassign tasks. EMIS will block deactivation if tasks remain.
    3.2 Review Responsibilities
Reassign workflows, quick codes, protocols and reports.

3.3 Remove From Teams
Organisation Configuration > Teams. Remove user from all Teams.
3.4 Remove From Services
Ensure user is removed from Services & Service Persons.
3.5 Review Appointment Sessions
Reassign or cancel future clinics in Appointment Book.
3.6 Deactivate Account
Organisation Configuration > Users > Deactivate (requires RBAC B0062).
3.7 Remove DXS Access
Use EMAS Manager > Partner API > DXS Point-of-Care > Edit Users.

  1. Annual Housekeeping
Review deactivated users, Teams, Services, workflows, and RBAC access.
  2. EMIS Now / Optum Help Centre Access Removal
Ensure leaving staff no longer have access to the EMIS Knowledge Base (Optum Help Centre).
Deactivate or update their account registration approvals via the system’s Customer Administrator.
  3. Optum Learn (formerly EMIS Academy) Updates
Remove or update user access to Optum Learn training accounts. Users register using organisation
CDB codes; ensure accounts of leavers are disabled.
  4. Governance Notes – Knowledge Base Access Controls
Because the EMIS Knowledge Base hosts clinical safety and system configuration content, ensure
only current staff retain access. Remove leavers promptly to maintain governance compliance.
